2. Data we collect
Depending on your chosen application route, we may collect identity and contact details, address, nationality, date of birth, educational history, grades, university information, work-experience information, language-test details, APS status, desired study destination/course/intake, and information about your current studies in Germany.
If you use the document uploader, you may provide documents such as school certificates, degree certificates and transcripts, CV, work-experience letters, letters of recommendation, language certificates, APS documentation, passport, and - for students already in Germany - residence permit, enrollment certificate and current transcript. PhD applicants may also provide research proposals or publication-related documents.
3. Purposes and legal bases
We process application information to respond to your request, evaluate possible study pathways, provide counselling, prepare or support applications you instruct us to handle, and communicate about your application. Processing necessary to take steps at your request before entering into a service relationship or to perform an agreed service is generally based on Art. 6(1)(b) GDPR. Processing required to protect the portal and prevent misuse may be based on Art. 6(1)(f) GDPR. Where we rely on consent for an optional activity, Art. 6(1)(a) GDPR applies and consent may be withdrawn for the future.
We do not use uploaded application documents for unrelated advertising. Please do not upload unrelated sensitive data.
4. Recipients, universities and hosting providers
Access is limited to Jinvani personnel and service providers who need the information to support the application. If you instruct us to submit an application, necessary data and documents may be shared with the selected university, college, education provider or relevant application/visa service involved in that application.
The website is hosted using Netlify. Netlify may process form submissions and uploaded files as a processor/service provider. Depending on service architecture, processing may involve locations outside the EEA. Where applicable, Netlify describes safeguards including contractual protections for international transfers. The general Jinvani privacy policy and the service provider's current privacy/DPA terms should be reviewed together.
5. Retention
Application data and uploaded documents should be kept only for as long as needed for counselling, application processing, follow-up, legal claims or applicable legal obligations. As an operational target, inactive or unsuccessful application files should be reviewed for deletion no later than six months after the application relationship ends unless a longer period is necessary or legally required. Counselling-only requests should normally be removed within six months after the request is closed. Records subject to statutory commercial or tax retention rules may be retained for the legally required period.
6. Your rights
Subject to the GDPR requirements and exceptions, you may have rights of access, rectification, erasure, restriction, data portability, and objection, as well as the right to withdraw consent where processing is based on consent. You may also lodge a complaint with the competent data-protection supervisory authority.

7. Security and document uploads
We use HTTPS and access controls provided by our hosting environment. Application documents can contain substantial personal information. Jinvani staff should restrict access, avoid unnecessary downloading or forwarding, and delete documents when no longer required. Applicants should upload only documents necessary for their application and should not submit payment-card details, banking credentials, health records, criminal records or other unrelated special-category information unless specifically requested with an appropriate legal basis.
For forms containing passports, transcripts or other PII, the hosting provider recommends additional security configuration for file uploads. Jinvani should maintain an appropriate data-processing agreement with its service providers, define staff access, establish a deletion routine, and use a secure PII-upload solution appropriate to the risk.
8. Marketing measurement and Meta Pixel
The website can use the Meta Pixel (Meta Platforms) to measure the performance of advertising campaigns and understand whether visitors complete actions such as enquiries, counselling requests or applications. The Meta Pixel is not loaded until you actively allow marketing tracking through the website privacy settings. If you choose “Essential only”, marketing tracking remains disabled. You can reopen the privacy settings from the website footer and change your choice for future visits.
Where Meta Pixel is enabled, technical and usage information may be transmitted to Meta and may involve processing outside the EEA. The applicable Meta privacy information and contractual safeguards should be reviewed when running advertising campaigns.
9. General privacy policy
This application-specific notice supplements the Jinvani Media & Entertainment general privacy policy. If there is a conflict, the applicable legal requirements and the more specific information for the relevant processing activity apply.
